Processing of personal information

Sitekit Ltd uses personal information for the following purposes:

1. When you apply for a product or a service (and throughout your relationship with us), we are required by law to collect and process certain personal data about you. Please note that if you do not agree to provide the information requested, it may affect service provision as we may be unable to continue to operate your account and/or deliver our services or products to you.
2. To register you as a new customer.
3. To administer your account and deliver our services to you including:
• Managing payments, fees, and charges;
• Keeping an accurate history of transactions and sending you relevant statements;
• Communicating with you in relation to your account for instance notifying you of any changes to our charges or other contract terms;

Our legal basis for processing your information

We will only use your personal data where it is necessary to carry out our business activities and where we have one or more of the following lawful grounds for processing your personal data:

• Performance of a contract – the personal data we may need to deliver our services and fulfill our contractual commitments to you;

• Legitimate interest – where we are permitted to use your personal data where on balance the benefits of us doing so are not outweighed by any prejudice to you or your legal rights;

  • Consent – where your agreement is sought prior to utilising your personal data. For example, we process cookie data and contact information with your consent. You may decline the use of cookies at your first visit to the site and may withdraw consent for marketing communications by following the “unsubscribe” link in marketing emails. Wherever consent is our lawful basis for processing your personal data you have the right to change your mind and/or withdraw your consent.

Sitekit does not share your contact details with any other organisations for marketing purposes.

Your rights over how we process your personal data

Your privacy is important to Sitekit. You have several rights under data protection laws as shown below. The rights available to you are subject to some exceptions and depend on our reason for processing your information:

1. Your right of access – You have the right to ask us for copies of your personal information. There are some exemptions, which means you may not always receive all the information. In most cases, this will be free of charge, however in some limited circumstances, for example, repeated requests for further copies, we may apply a small administration fee;
2. Your right to rectification – You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. This right always applies.
3. Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.
4. Your right to restriction of processing – You have the right to ask us to restrict the processing of your information in certain circumstances.
5. Your right to object to processing – You have the right to object to processing if we process your information because the process forms part of our public tasks or is in our legitimate interests.
6. Your right to data portability – The right only applies if we are processing information based on your consent or under, or in talks about entering into a contract and the processing is automated.

How long we keep your personal data

We retain your personal data for no longer than is necessary. The time periods for retaining data are determined by several factors including but not limited to the nature and type of record, the nature of the activity, the product or service, and any applicable legal or regulatory requirements. When we no longer require your data for the purpose/s for which we collected it and/or have no right/obligation to retain it further, your information will be securely deleted/destroyed in accordance with our data deletion and disposal policy. Information may be held in back-ups for a certain period following deletion.

How we keep your information secure

Your information is stored securely on servers based in the United Kingdom. No data is transferred or stored overseas. We have appropriate information security measures in place to prevent personal information from being accidentally lost or being used or accessed in an unauthorised way.

We limit access to your personal information to those who have a genuine business need to know it. Those processing your information will do so only in an authorised manner and are subject to a duty of confidentiality.

All information you provide to us is stored on our secure servers. Any payment transactions will be encrypted. Where we have given you (or where you have chosen) a password, that enables you to access certain parts of our website, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.

Please note, that the transmission of information via the Internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our website; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

We also have procedures in place to deal with any suspected data security breach. We will notify you and any applicable regulator of a suspected data security breach where we are legally required to do so.

Sitekit is subject to data protection law in the UK – the UK General Data Protection Regulation (GDPR), the Data Protection Act 2018, and the Privacy and Electronic Communications Regulations 2003 (PECR).
